This page is used to configure the levels that will be used at your site to approve timesheets. You can configure TimeReporting such that each timesheet must be approved by one, two, or three supervisors.
When an employee "signs" or submits his/her timesheet, the timesheet is made available for the Level 1 supervisor to either approve or reject. If this supervisor rejects the timesheet, it is returned to the employee. The employee can then make revisions and resubmit the timesheet to the supervisor. Once the Level 1 supervisor approves the timesheet, it is made available for review by the Level 2 supervisor.
The Level 2 supervisor can either reject or approve the timesheet. If the timesheet is rejected, it is returned to the Level 1 supervisor who in turn can reject it back to the employee or revise the timesheet him/herself and resubmit it to the Level 2 supervisor. Once the Level 2 supervisor approves the timesheet, it is made available for review by the Level 3 supervisor.
The Level 3 supervisor can either reject or approve the timesheet. If the timesheet is rejected, it is returned o the Level 2 supervisor who in turn can reject it back to the Level 1 supervisor or revise the timesheet him/herself and resubmit it to the Level 3 supervisor.
This "chain of command" can be overridden in a couple of ways. Each supervisory level will have a designated backup supervisor and these backup supervisors will be able to approve timesheets. Also, each supervisory level will have an "approval time" defined. If for example, the Level 1 supervisor has not approved a timesheet within the approval time (say, 48 hours), the Level 2 supervisor can step in and approve the timesheet.
The default configuration is to use one approval level. To use two approval levels, select the Level 2 entry for editing, check the Active box, and click Update. Similarly, to use three approval levels, select the Level 3 entry for editing, check its Active box, and click Update.
You can name the three approval levels to match the terms used in your organization structure e.g. Supervisor, Manager, Director, VP, etc.
You can also control whether emails are sent when a timesheet is approved or rejected at each level. You can choose to have emails sent to the employee and/or to the next lower level supervisor (the subordinate supervisor) when a timesheet is approved or rejected. |
